Job Description
Manager of Admissions Operations
Basic Function and Responsibility:
Under the administrative supervision of the Director of Admissions and Enrollment, plan, manage, and assess activities that support admission operations, enrollment, and student communications. Lead initiatives that reduce barriers to enrollment, improve business processes, as well as organizational efficiencies, which are in alliance with College goals and compliance requirements. Work collaboratively with other departments and exercise sound judgment and decision making requiring knowledge of federal, state, accrediting, and College policies. Implement strategic enrollment management goals and objectives.

Characteristic Duties and Responsibilities:
Supervise and direct admissions operations including hiring, training, professional development and scheduling staff to effectively deliver high quality programs and services.

Develop and lead initiatives and admission application/enrollment processes that enhance services to students impacting enrollment and student success. In collaboration with Registrar Services, assess data and best practices to improve operational efficiencies, compliance, student outcomes, and Strategic Enrollment Management (SEM).

Implement and optimize Customer Relationship Management (CRM) Retention Suite to improve communication to continuing students in support of SEM. Serve as an active liaison with Information Technology Leadership in order to improve business processes that support enrollment operations and functions.

Prepare, review, edit and submit reports including enrollment, state apportionment, athletic eligibility, and the National Student Clearinghouse. Collaborate with Information Technology, Institutional Research, Athletics, Registrar Services and Academic Affairs to ensure integrity and quality of student data.

Lead the administrative withdrawals committee, residency appeals committee and evaluate requests for academic forgiveness and career/business agreements.

In conjunction with Academic Affairs and Student Recruitment & Outreach, develop, schedule and supervise the admission, enrollment, and records activities for concurrent enrollment, dual credit, and special populations/programs.

Identify federal, state, and accrediting policies, and evaluate college admission and registration processes to ensure compliance. Monitor rule changes and best practices, and collaborate with other academic, information technology and student affairs departments to develop new processes and policies to improve student success.

Direct the department and assist with college wide training and enforcement of FERPA regulations.

Collaborate with academic chairs and healthcare advisers to support and improve the application process and efficiencies for limited enrollment programs.

Oversee and supervise Designated School Official (DSO) who secures F1 Visas for international students, and ensures compliance with Homeland Security and federal laws.

Create and assess monthly professional development training in collaboration with the Enrollment Center departments.

Review and/or edit College publications such as the College Catalog, Student Handbook, Oakton website, and departmental forms to ensure accuracy of information.

Perform other job related duties as assigned.

Supervision Received:
Administrative supervision is received from the Director of Admission & Enrollment
Supervision Exercised:
General supervision is exercised over 2 full- time Operations Specialists, 1 full-time Limited Enrollment/International Specialist, multiple part-time and/or temporary staff, and multiple student employees.
HOURS: Monday - Friday 8:15 am - 5:00 pm
SALARY: $63,403

Qualifications & Requirements
Qualifications and Working Conditions:

Master's degree, preferably in college student personnel, higher education administration, or related field required.

Minimum four years of increasingly responsible experience in an area of student services; preferably in community college admissions, records, registration, or enrollment services; and supervision.

Ability to develop process and procedures with an emphasis on customer service and equity. Experience with Illinois High School Mandates or Illinois Community College Administrative Rules desirable.

Experience with the development, implementation or maintenance of one or more of the following systems: Student Information System (Banner preferred), Degree Audit Reporting System, Optical Storage Scanning/Imaging System, or Customer Relations Management (CRM) System (Target X preferred).

Ability to handle multiple priorities and confidential assignments, organize work, and function independently under heavy workloads and during peak periods.

A high level of interpersonal and communication skills required. Must be able to explain policies or otherwise communicate with others in situations requiring sensitivity and tact.

Ability to travel between campus locations, and work a flexible schedule including days, evenings, weekends during peak registration periods.

General office environment. Little or no exposure to adverse working conditions.
